RAF Downtime workflows for MPH (Maria Pharam) and PMH (Person Memorial) Hospitals

Maria Pharam Hospital (MPH) and PMH (Person Memorial Hospital) have periodic downtimes with their RIS or PACS, when they are not able to send Sirona the HL7 orders. The DICOM studies are routed via the modalities but the Orders are not sent. In this case, Sirona will have to enable downtime workflow which involves creating an order real time when we ingest the DICOM study.

Below are the steps to enable the downtime workflow for RAF sites.

  1. Login to DCMSYS DICOM router (10.62.40.18). If primary is down, login to the passive node (10.62.40.32).
  2. Go to the 'Workflow' tab where you will see two separate options (one for each hospital).
  3. They should be in 'Disabled' state when not in downtime mode. Select the checkbox of the site that is having a downtime. Please do not select both unless both are having a downtime.

Upon selecting the check box, the status will go from "Disabled" to "Enabled". Downtime workflow is now enabled where the DCMSYS router will begin creating HL7 orders for every study we ingest for that site. Once downtime is over which can either be communicated by the site or wait until the downtime window is complete, please follow the above steps and uncheck the workflow to 'Disable' it again.

The site will login and download the finalized report as a PDF. Post downtime completion, the tech will send a list of old and new accession numbers that they would like to move both the images and report to. Since these studies were ordered during downtime, they will eventually need to be reconciled with the real orders from the RIS.
